How Dashboard Solutions collects, uses, stores and protects information. Last updated 9 October 2026.
Dashboard Solutions is a trading name of SOLE ENTERPRISE PTY LTD (ACN 703 066 782) ("Dashboard Solutions", "we", "us", "our"). We provide a reporting dashboard for trade and field service businesses that connects to third-party systems such as ServiceM8, Xero and your email provider (Gmail or Microsoft 365). We are based in Queensland, Australia and are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth).
When you authorise a connection we read business records from that system, which may include jobs, quotes, invoices, payments, client names and contact details, staff names, job activity and call records. If you connect a mailbox, we read email metadata only — sender and recipient addresses, timestamps and subject lines — and never the body of a message or its attachments; the access we request from Google or Microsoft does not permit it, and we can never send, reply to or delete email. We read this data; we never write to, alter or delete anything in the source system.
Log data such as IP address, browser type, pages viewed and timestamps, used for security, troubleshooting and improving the product.
We also record product usage at the account level: when a user signs in, which pages of the dashboard are opened, how much data has been synced, and changes to your plan. These are counts and timestamps only — never the content of what you were looking at. We use them to see whether the product is working for you, to size what it costs us to run your dashboard, and to spot a broken connection before you have to report it.
If you join our early access list, we use your email only to tell you when the product launches. We will not add you to a newsletter or pass your details to a third party.
Records we read from your systems may contain personal information about your customers. In relation to that information you are the controlling party and we act on your instruction. We use it solely to produce your dashboard. We do not sell it, we do not use it for advertising, and we do not pool it with other businesses' data or use it to benchmark you against anyone else without your express permission.
Our support staff cannot open your dashboard whenever they feel like it. If we need to see what you see — to investigate a ticket, a failed connection or a figure that looks wrong — we send a request to the account owner naming the person asking and the reason. Nothing happens until the owner approves it.
An approved session is read‑only and time‑limited (24 hours at most). We cannot change your settings, and nothing is ever written back to ServiceM8, Xero or any other connected system. The owner can revoke a session at any moment, and every request, approval, refusal, expiry and revocation is recorded and shown to you in your own Settings page. Declining a request never affects your service.
We do not sell personal information and we never share it with data brokers or advertisers. We share it only with the service providers who help us run the platform — cloud hosting and database, error monitoring, email delivery and payment processing — each bound to protect it and use it only to provide that service to us. Every one of them is named, with what it can see and where it processes it, on our subprocessor list. We will update that list before we add a new provider that handles your data.
We may also disclose information where Australian law requires it, to enforce our terms, or to protect the rights or safety of our users. If our business is ever sold or restructured, your data may transfer to the new owner on the same terms, and we will tell you before that happens.
We want to be straight with you about this, because it matters and most policies bury it. Your dashboard runs on managed cloud infrastructure operated by our platform and database providers, and that infrastructure is currently located in the United States. Your business data is therefore stored and processed overseas.
Under Australian Privacy Principle 8 we remain accountable for that data. Before we use a provider we check that it is contractually bound to handle personal information consistently with the Australian Privacy Principles, that data is encrypted in transit and at rest, and that it does not use your data for its own purposes. Our subprocessor list states the processing location for each provider. Where an Australian region becomes available for our stack we intend to move to it, and we will note the change here.
Records in ServiceM8, Xero and your email account stay where those platforms keep them; their own privacy policies govern that.
We will email you about your account, your billing, security matters and material changes to the service — you cannot opt out of those while you hold an account, because they are part of running it. Product news and anything promotional is separate and you can unsubscribe from it in one click, or by replying and asking us.
We do not use your data, or your customers' data, to market to your customers. We never send anything to your customers on your behalf, and we do not add anyone from your connected systems to any list of ours. If you would like us to use your business name, logo or a quote from you in our marketing, that is entirely optional and covered by our Marketing Authorisation — nothing happens unless you opt in.
The platform is built on SOC 2 compliant cloud infrastructure and follows a SOC 2 aligned control framework: encryption in transit and at rest, least-privilege access controls, per-business data isolation, audit logging and regular backups. Dashboard Solutions is not itself SOC 2 certified. No system is perfectly secure, but if a data breach likely to cause serious harm occurs we will notify affected users and the OAIC as required by the Notifiable Data Breaches scheme.
We keep your data while your account is active. Disconnecting an integration stops the sync immediately. When you close your account we delete your synced business data within 90 days, except records we must keep for legal, tax or accounting purposes. You can request earlier deletion at any time.
You may ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or complain about how we have handled it. You can export your dashboard data at any time from within the product. Email us and we will respond within 30 days, as the Privacy Act requires; we may ask you to verify your identity first, and we will not charge you to make a request.
If your customer contacts you about information of theirs that appears in your dashboard, come to us and we will help you answer them — but that record is yours, and we act on your instruction, as set out in section 4 and our Data Processing Addendum.
If you are not satisfied with our response you may complain to the Office of the Australian Information Commissioner: oaic.gov.au, 1300 363 992, or GPO Box 5218, Sydney NSW 2001.
We use essential cookies to keep you signed in and to remember basic preferences such as which office you last looked at. We do not use advertising cookies, we do not run third-party ad trackers on the app, and we do not sell tracking data. Blocking essential cookies will stop you being able to stay signed in.
If we become aware of unauthorised access to or loss of personal information, we assess it promptly. Where it is likely to result in serious harm we notify the affected users and the OAIC as required by the Notifiable Data Breaches scheme, and we tell you what happened, what was involved and what we are doing about it — in plain English, not a legal notice.
We may update this policy from time to time. Material changes will be notified by email or in the dashboard before they take effect.
This policy sits alongside our Terms of Service, Data Processing Addendum, subprocessor list and security overview.
Privacy questions and requests: info@dashboardsolutions.com.au. We are the contact point for privacy matters; we do not have a separate privacy officer yet, and mail to that address reaches the owner directly.
